Administration Assistant

 

The Opportunity

We are seeking a proactive and detail-oriented Administration Assistant to join our Newcastle office, supporting both local operations and the broader NSW teamincluding our Sydney office. As part of our national administration support team, you will also contribute to wider business needs across Australia. This dynamic role offers variety, challenge, and the opportunity to grow your career within a collaborative and supportive environment. 

Key Responsibilities

  • Provide high-quality administrative support across teams and offices.
  • Format and compile reports and proposals using templates and Adobe tools.
  • Maintain document control and ensure quality and accuracy in all outputs.
  • Coordinate office needs including stationery, couriers, inductions, and facilities.
  • Manage reception duties with professionalism, discretion, and attention to detail. 
  • Collaborate with and support various team members, including managers, project staff, and administrative colleagues, while effectively balancing competing priorities.
  • Contribute to process improvements and system efficiencies.
  • Provide administrative support to managers during the employee onboarding process.
  • Maintain and support tender and client portals

What you will bring

  • Strong Microsoft Office and Adobe skills.
  • Minimum 3 years’ experience in a fast-paced administrative role environment.
  • Excellent written communication and attention to detail.
  • Proven ability to manage multiple tasks and work collaboratively.
  • A positive, can-do attitude and willingness to take on new challenges.
  • Experience in general office, reception, project administration and ad hoc duties.

Desirable Criteria

  • Certificate III in Business Administration (or above).
  • Experience in process management.
  • Experience working within a professional services office (environment/engineering etc).
  • Experience working with Deltek software program will be highly regarded.
